This policy explains what Inbox Pilot does with your data and what controls you have.

What Inbox Pilot is

Inbox Pilot ("Inbox Pilot", "we", "us") is a review-first inbox command center for founders and small teams. The product prepares drafts, surfaces follow-ups, and extracts tasks from important conversations so the work inside your inbox actually finishes.

Data we collect

Account information

When you create an account we collect your name, work email, and any password or authentication credentials you provide. We use this to authenticate you and contact you about the service.

Workspace information

If you set up a workspace, we collect the workspace name, your role, and any teammates you invite. Workspace data is scoped to members you invite.

Inbox connection data

Inbox provider connections (Gmail, Outlook) require explicit OAuth consent. Inbox Pilot only requests scopes needed for the features you enable, and you can revoke a connection at any time from Settings → Inbox. Until you complete a connection, we do not access your inbox.

Email metadata and message content

When you connect an inbox, Inbox Pilot processes message metadata (sender, recipient, subject, timestamps, threading) and message content needed to summarize threads, prepare drafts, and extract tasks. Processing is scoped to your workspace and used to operate the product for you.

AI-generated content

Summaries, drafts, follow-up suggestions, and extracted tasks are generated using AI models. Output is provided for your review. Inbox Pilot does not autonomously send messages on your behalf unless and until you explicitly configure such an action.

Contact form submissions

If you contact us through the form on /contact, we collect your name, email, optional company, the topic you select, and your message. We use this only to respond to you. Marketing consent is collected separately and is unchecked by default — submitting a contact form does not opt you into marketing email.

Email preferences and marketing consent

Marketing email is opt-in. We only send to addresses that have explicitly subscribed. Manage which emails you receive on email preferences and unsubscribe at any time, with or without an account, on unsubscribe.

Cookies and analytics

We use a small number of strictly necessary cookies for session and security. Where required by law, analytics or marketing cookies are presented behind a consent banner before any non-essential cookie is set. See the cookie policy for the current state.

Data retention

Account and workspace data are retained for the life of the account. Inbox content and AI-generated artifacts follow the workspace data controls in Settings → Data. You can request deletion at any time by emailing legal@helloinboxpilot.co.

Your rights and controls

  • Access & export. You can request an export of the data tied to your account by emailing legal@helloinboxpilot.co.
  • Deletion. You can request account and data deletion at any time by emailing legal@helloinboxpilot.co from the email tied to your account.
  • Disconnect integrations. Once integrations are configured, disconnecting them in settings stops further data collection from that provider.
  • Object & restrict. Where applicable law gives you rights to object or restrict processing, contact legal@helloinboxpilot.co.

AI training on your data

We do not train AI models on your private email content without your explicit consent. Where third-party AI providers are used to generate summaries or drafts, we select providers and configurations designed to exclude your content from provider training. If we ever offer an opt-in training program, it will be exactly that — opt-in, off by default, and revocable.

We do not make claims about specific security certifications or encryption standards in this document. Concrete security commitments will be published as they are independently verified.

Review-first actions

Inbox Pilot is designed so that user-facing actions — replying, sending, completing tasks — happen only after you approve them. If we ever introduce automation that takes action without per-action review, it will be off by default, clearly labeled, and require your explicit configuration.

AI-generated summaries, drafts, and tasks should stay connected to the conversation that created them.

Your data controls matter

Disconnect, export, and deletion controls are part of the product foundation and should be clearly available when integrations are configured.

Marketing consent stays separate

Signing up or contacting Inbox Pilot does not automatically subscribe anyone to marketing emails.
